1. Definitions & Interpretation

Key terms used throughout these policies

"Deliverable"Any written, translated, formatted, or analysed document produced by the Company in fulfilment of an Order.
"Acceptance"Formal acceptance of a Deliverable by a journal, institution, or academic body — not by the Company.
"Revision"Amendments to a Deliverable requested within the scope of the original Order brief.
"Scope Change"Any modification to the original Order that adds requirements, word count, or services beyond the initial agreement.

2. Terms of Service

Binding agreement governing all service engagements

By submitting an order, making any payment, or using any service offered by Nix Publishing Services, you acknowledge that you have read, understood, and agree to be bound by these Terms in their entirety.

2.1 Acceptance of Terms

These Terms constitute a legally binding agreement between the Client and Nix Publishing Services. If you do not agree with any part of these Terms, you must not use our services. Use of our website or submission of any inquiry or order constitutes acceptance.

2.2 Eligibility

You must be at least 18 years of age and possess the legal authority to enter into binding agreements. By placing an order, you represent and warrant that you meet these requirements. The Company reserves the right to refuse service to any individual or entity at its sole discretion.

2.3 Order Confirmation

An Order is confirmed only upon receipt of full or agreed partial payment. Verbal or email discussions do not constitute confirmation. The Company will issue an Order Confirmation via email specifying scope, deliverables, timeline, and fees. Any discrepancy must be raised within 24 hours of receipt.

2.4 Scope of Services

The Company provides academic and scientific publishing support services only. The nature and extent of each Service are defined at the time of Order placement. The Company does not guarantee:

  • Acceptance of manuscripts by any journal, conference, or academic institution
  • A specific impact factor or journal ranking for publications
  • Passing grades or academic approval for theses or dissertations
  • Specific review timelines imposed by third-party journals

2.5 Client Responsibilities

The Client agrees to:

  • Provide accurate, complete, and timely briefs, data, and reference materials
  • Respond to queries from the Company within 48 hours to avoid project delays
  • Use all Deliverables in accordance with applicable academic and legal standards
  • Not misrepresent the origin or authorship of Deliverables to any institution or publisher
  • Take full legal and ethical responsibility for how Deliverables are used

2.6 Modification of Services

Any changes to the original Order scope must be submitted in writing and may result in additional charges and revised timelines. The Company reserves the right to revise fees for Scope Changes. No Scope Change shall be binding unless confirmed in writing by the Company.

2.7 Right to Refuse or Terminate

The Company reserves the right to decline, suspend, or terminate any Order or client relationship at its sole discretion if: (a) the Client provides false information; (b) the requested content violates ethical, legal, or academic standards; (c) the Client engages in abusive, threatening, or fraudulent conduct; or (d) the Order conflicts with the Company's policies. In such cases, a partial refund may be issued for work not yet commenced, at the Company's sole discretion.

3. Refund & Cancellation Policy

Strict no-refund terms — please read carefully before ordering

âš ī¸ ALL SALES ARE FINAL. Due to the bespoke, intellectual, and time-intensive nature of our services, Nix Publishing Services operates a strict NO REFUND policy. By placing an order, you expressly waive any right to a chargeback, reversal, or refund except in the limited circumstances outlined below.

3.1 No Refund — General Rule

The Company does not issue refunds once work has commenced on any Order. This applies regardless of the Client's satisfaction with the Deliverable, change of mind, failure to submit the Deliverable to a journal, rejection by a journal, or any outcome beyond the Company's control. The Company's obligation is to deliver the agreed service — not to guarantee any outcome.

3.2 Non-Refundable Circumstances Strict

No refund shall be issued under any of the following circumstances:

  • The Client changes their mind after order confirmation
  • The manuscript is rejected by a journal or conference
  • The thesis or dissertation receives revisions or fails examination
  • The Client fails to provide required materials within agreed timelines
  • The Client is dissatisfied with the writing style, despite the work meeting the agreed brief
  • The Client requests excessive scope changes beyond the original brief
  • Translation accuracy is disputed without independent certified verification
  • Plagiarism results differ across different software tools
  • The Client has downloaded, used, submitted, or shared the Deliverable in any form
  • More than 7 days have elapsed since delivery of the final Deliverable
  • The Order involves rush delivery fees, express processing, or expedited services
  • The Client initiates a chargeback or PayPal/Stripe dispute without first contacting the Company

3.3 Limited Refund Eligibility Exceptions

A refund or partial credit may be considered ONLY in the following strictly limited circumstances:

  • Non-delivery: The Company failed to deliver any Deliverable within 14 days beyond the agreed deadline, without prior notice or renegotiation
  • Duplicate payment: A technical error caused the Client to be charged more than once for the same Order
  • Pre-commencement cancellation: The Client cancels within 2 hours of order placement AND before any work has commenced — a 20% administrative fee applies

All refund claims must be submitted in writing to billing@nixpublishingservices.org within 7 days of the qualifying event. Claims submitted after this window will not be entertained.

3.4 Revision Policy (Alternative to Refund)

The Company's primary remedy for dissatisfaction is revision, not refund. Clients are entitled to request revisions within the scope of the original Order brief. Revision requests must be submitted within 7 days of delivery. Revisions that constitute Scope Changes will be quoted separately. Repeated revision requests beyond 3 rounds on the same deliverable may incur additional charges.

3.5 Chargeback & Dispute Policy Critical

The Company takes unauthorised chargebacks extremely seriously. If a Client initiates a chargeback, PayPal dispute, credit card reversal, or bank dispute without first exhausting the Company's internal resolution process:

  • All access to services will be immediately suspended
  • The Company will submit full evidence — including Order confirmation, delivery proof, communication records, and Deliverable files — to the payment processor
  • The Company reserves the right to pursue legal action and recovery of the full disputed amount plus associated legal costs
  • The Client's information may be flagged with fraud prevention services

Clients must contact billing@nixpublishingservices.org and allow 5 business days for resolution before initiating any external dispute.

4. Delivery Policy

Timelines, delays, and delivery obligations

4.1 Delivery Timelines

Estimated delivery timelines are stated at Order confirmation. Standard delivery is 5–10 business days depending on service type. Rush delivery (24–48 hours) is available at an additional premium. All timelines commence from the date of full payment and receipt of complete Client brief and materials.

4.2 Delays Caused by Client

If the Client fails to provide required materials, feedback, or approvals within 48 hours of request, the Company's delivery timeline shall be extended accordingly. The Company shall not be liable for any delays attributable to the Client's inaction.

4.3 Force Majeure

The Company shall not be liable for delays or failure to perform due to circumstances beyond its reasonable control, including but not limited to internet outages, natural disasters, pandemics, governmental restrictions, acts of God, or third-party journal processing delays.

4.4 Delivery Method

All Deliverables are delivered electronically via email or secure file transfer to the email address registered at Order placement. The Company is not responsible for Deliverables lost due to incorrect email addresses, spam filters, or email storage limitations.

5. Intellectual Property Rights

Ownership, licensing, and permitted use of Deliverables

5.1 Transfer of Ownership

Upon receipt of full payment, the Company assigns all intellectual property rights in the Deliverable to the Client. The Company retains no ownership rights over delivered work once payment is complete.

5.2 Company's Portfolio Rights

Unless explicitly prohibited in writing by the Client, the Company reserves the right to retain an anonymised, non-identifiable copy of Deliverables for internal quality assurance, training, and portfolio purposes. No identifiable Client information will be shared publicly.

5.3 Website Content

All content on the Nix Publishing Services website — including text, graphics, logos, designs, and code — is the exclusive intellectual property of Nix Publishing Services and is protected by applicable copyright laws. Reproduction, distribution, or commercial use without express written permission is strictly prohibited.

5.4 No Warranty of Originality Against All Third-Party Sources

While the Company ensures all Deliverables are written from scratch and checked for plagiarism, the Company cannot guarantee that no similar content exists anywhere in the world. The Client accepts this inherent limitation of all written work.

6. Confidentiality & Non-Disclosure

Protection of your research and personal information

All information shared with Nix Publishing Services is treated as strictly confidential. We do not sell, share, or disclose Client information or research materials to any third party.

6.1 Confidentiality Obligations

The Company agrees to keep all Client information, research topics, data, and Deliverables strictly confidential. This obligation applies to all employees, subcontractors, and agents engaged on any Order. All team members are contractually bound by confidentiality agreements.

6.2 NDA Availability

Clients may request a formal Non-Disclosure Agreement (NDA) before Order commencement at no additional cost. NDA requests must be submitted by email before work begins. The Company will not execute retroactive NDAs.

6.3 Data Retention & Deletion

Client files and research materials are retained for a maximum of 90 days post-delivery for quality assurance purposes, after which they are permanently deleted from Company systems. Clients may request earlier deletion in writing.

6.4 Exceptions to Confidentiality

Confidentiality obligations do not apply where disclosure is required by applicable law, court order, or regulatory authority. The Company will notify the Client of such requirements to the extent legally permissible.

7. Disclaimers

Important limitations on representations and warranties

The following disclaimers are essential to the Client's understanding of the scope and limits of our Services.

7.1 No Publication Guarantee

The Company provides manuscript preparation, editing, formatting, and submission support. The Company does not guarantee, represent, or warrant that any manuscript will be accepted, published, or indexed by any journal, conference, publisher, or database including Scopus, SCIE, Web of Science, PubMed, or IEEE. Acceptance decisions rest entirely with third-party editorial boards beyond the Company's control.

7.2 No Academic Outcome Guarantee

The Company does not guarantee that any thesis, dissertation, assignment, or academic submission supported by our Services will receive any particular grade, approval, or outcome. Academic assessment is the exclusive responsibility of the respective institution.

7.3 Third-Party Tools & Software

Plagiarism similarity scores reported by the Company are based on specific tools (e.g., Turnitin, iThenticate). Different tools may produce varying results. The Company makes no warranty regarding results obtained through any other plagiarism detection software.

7.4 Services Provided "As Is"

To the maximum extent permitted by applicable law, the Company provides all services on an "as is" and "as available" basis, without warranties of any kind, either express or implied, including but not limited to implied warranties of merchantability, fitness for a particular purpose, or non-infringement.

8. Limitation of Liability

Caps on Company's financial exposure

8.1 Maximum Liability Cap

In no event shall the Company's total aggregate liability to the Client — whether in contract, tort, negligence, breach of statutory duty, or otherwise — exceed the total amount paid by the Client for the specific Order giving rise to the claim. This cap applies regardless of the form or nature of the claim.

8.2 Exclusion of Consequential Damages

The Company shall not be liable for any indirect, incidental, special, consequential, exemplary, or punitive damages, including but not limited to: loss of income or revenue; loss of academic opportunities; loss of data; reputational harm; journal rejection fees; costs of alternative service providers; or any other losses arising from or connected to the use of the Company's services, even if the Company has been advised of the possibility of such damages.

8.3 Third-Party Actions

The Company shall not be liable for the actions, decisions, or policies of any third-party journal, publisher, institution, academic board, or payment processor.

9. Privacy Policy

How we collect, use, and protect your personal data

9.1 Data We Collect

  • Identity data: Name, email address, institution, and country
  • Order data: Research topic, subject domain, uploaded files, and correspondence
  • Payment data: Transaction reference numbers (we do not store card details — processed by Stripe/PayPal)
  • Usage data: IP address, browser type, pages visited, and device information

9.2 How We Use Your Data

  • To process and fulfil your Order
  • To communicate about your project
  • To send service-related updates and invoices
  • To improve our website and service quality
  • To comply with legal obligations

9.3 Data Sharing

We do not sell, rent, or trade your personal data. We share data only with trusted service providers (e.g., payment processors, cloud storage) strictly necessary for Order fulfilment, all of whom are contractually bound to maintain confidentiality.

9.4 Your Rights

You have the right to: access your personal data; correct inaccurate data; request deletion of your data; withdraw consent; and lodge a complaint with your applicable data protection authority. Submit requests to privacy@nixpublishingservices.org.

10. Payment Policy

Payment terms, methods, and obligations

10.1 Payment Terms

All fees are due in full prior to commencement of work, unless a payment plan has been expressly agreed in writing. The Company reserves the right to withhold delivery until full payment is received and cleared. Quoted prices are valid for 7 days.

10.2 Accepted Payment Methods

The Company accepts payments via Stripe (credit/debit card), PayPal, and bank wire transfer. All transactions are processed securely. The Company does not store payment card information.

10.3 Currency & Taxes

All prices are quoted in USD unless otherwise stated. The Client is responsible for any applicable taxes, duties, or bank fees associated with the transaction in their jurisdiction. The Company's fees are exclusive of VAT/GST unless explicitly stated.

10.4 Late Payment

For instalment or staged-payment agreements, failure to pay any instalment on the agreed date may result in suspension of work, forfeiture of any work completed, and loss of any discounts applied to the Order.

10.5 Pricing Changes

The Company reserves the right to adjust pricing at any time. Price changes do not affect confirmed and paid Orders.

11. Dispute Resolution

Mandatory process before any external claim

Before initiating any chargeback, legal proceeding, or external complaint, the Client MUST follow the dispute resolution process below. Failure to do so constitutes a material breach of these Terms.

11.1 Mandatory Internal Resolution

All disputes must first be submitted to disputes@nixpublishingservices.org with a clear written description of the issue, supporting evidence, and the resolution sought. The Company will acknowledge within 2 business days and provide a formal response within 5 business days.

11.2 Mediation

If the internal process does not resolve the dispute, both parties agree to attempt resolution through a mutually agreed independent mediator before pursuing litigation or arbitration. Mediation costs shall be shared equally.

11.3 Binding Arbitration

If mediation fails, disputes shall be resolved by binding arbitration under internationally recognised arbitration rules. The arbitrator's decision shall be final and enforceable. Class action claims and jury trials are expressly waived by both parties.

11.4 PayPal & Stripe Dispute Cooperation

In any PayPal or Stripe dispute filed by a Client, the Company will submit comprehensive evidence including: Order confirmation emails, delivery receipts, Deliverable files, revision history, and all Client communications. The Company has a consistent record of winning such disputes where services were delivered as agreed.

12. Academic Integrity & Permitted Use

Your legal and ethical responsibility as a Client

âš ī¸ Nix Publishing Services provides research support, writing assistance, and editing services for legitimate educational and professional purposes. The use of our Deliverables is the sole legal and ethical responsibility of the Client.

12.1 Client Responsibility

The Client bears sole and full responsibility for ensuring that their use of any Deliverable complies with the academic integrity policies of their institution, the submission requirements of their target journal, and all applicable laws. The Company provides a support service only.

12.2 Indemnification

The Client agrees to indemnify, defend, and hold harmless Nix Publishing Services and its officers, employees, and contractors from any claims, losses, damages, penalties, fines, or legal costs arising from the Client's use or misuse of any Deliverable, including claims of academic misconduct, plagiarism, fraud, or copyright infringement.

12.3 No Liability for Client Misuse

The Company shall bear no liability whatsoever if the Client submits a Deliverable in violation of their institution's academic integrity policy or any applicable journal's submission ethics. The Company's services are akin to professional editing, translation, and statistical support — which are widely accepted in academic publishing worldwide.

13. Prohibited Use

What you may not do with our services or website

13.1 Prohibited Activities

The Client agrees not to:

  • Use our services to produce content intended to deceive, defraud, or harm any person or institution
  • Reproduce, resell, or redistribute any Deliverable without prior written consent
  • Use our website for unauthorised data scraping, hacking, or denial-of-service attacks
  • Impersonate the Company or misrepresent association with Nix Publishing Services
  • Submit false or misleading information in any Order brief
  • Use our services to produce content that infringes third-party intellectual property rights
  • Engage in any conduct that is unlawful, defamatory, or harmful to the Company's reputation

14. Amendments to Policies

How and when these terms may change

14.1 Right to Amend

The Company reserves the right to modify, update, or replace any part of these policies at any time without prior notice. The most current version of these policies will always be published on this page with an updated effective date.

14.2 Continued Use

Continued use of our website or services following any policy update constitutes acceptance of the revised terms. It is the Client's responsibility to review this page periodically.

15. Governing Law & Jurisdiction

Legal framework applicable to these Terms

15.1 Applicable Law

These Terms shall be governed by and construed in accordance with applicable international commercial law principles. For Clients based in specific jurisdictions, local consumer protection laws may apply to the extent required by law and shall not be excluded by these Terms.

15.2 Severability

If any provision of these Terms is found to be invalid, unlawful, or unenforceable under applicable law, such provision shall be deemed severed from these Terms. All remaining provisions shall continue in full force and effect.

15.3 Entire Agreement

These Terms, together with any Order Confirmation and any NDA executed between the parties, constitute the entire agreement between the Client and the Company and supersede all prior discussions, representations, and agreements.

15.4 Waiver

Failure by the Company to enforce any provision of these Terms on any occasion does not constitute a waiver of the Company's right to enforce that provision on any subsequent occasion.
